EDUCATIONAL REQUIREMENTS AND QUALIFICATIONS:

  • Preferably, the candidate would hold a High School graduate/GED, but not required.
  • Preferably, work experience as a medical unit secretary, Emergency Medical Technician or similar education/certification.
  • Possess and demonstrate excellent communication and customer service skills.  Similarly, a pleasant phone technique and etiquette.
  • The right candidate should possess the ability to:
      • Plan, organize and prioritize work in a multi-task environment where interruptions may be frequent. Able to assess situations and readily adapt to change.
      • Maintain strict confidentiality as defined by hospital policy.
      • Adapt to variations in scheduling (including but not limited to overtime, work schedule changes or low census).
      • Cooperate with other members of the medical team and personnel of other departments to give individualized patient care.
  • Additionally, the willingness to consult with physician, pharmacist, or nursing staff if questions arise.
  • Possess basic computer and keyboard skills.  In addition, demonstrate the ability to learn new skills in this area.
  • Possess basic knowledge and proper use of office equipment.  In addition, demonstrate the ability to learn new skills in this area.
  • Possess basic knowledge and understanding of medical terms, tests, and procedures.

PRIMARY DUTIES:

  • Acts as a receptionist for the nursing station, answering inquiries of a general nature from patients & visitors, in addition to other departments, nursing staff, and physicians, assisting them in a friendly and cooperative manner.
  • Communicates professionally, consistently, and effectively with all team members to ensure coordination and prioritization of duties and responsibilities.
  • Responds to nurse-call system in a prompt and efficient manner. Coordinates team members to ensure patient care is provided promptly. As well as uses paging system and nurse-call system to meet staff and patient needs.
  • Assist physicians, as needed, to answer questions, locate records, assist with computer, obtain test results, ordering tests, etc.
  • Performs secretarial duties to facilitate delivery of physician orders using accurate transcription of orders, tasks, and results to the patient record.
  • Proficient with computer skills, order entry of diagnostic procedures and maintenance of medical records. Notifies nursing staff of new physician orders, for instance, coordinates procedures, tests, and appointments with other departments.
  • Performs clerical duties related to procedures such as admission, discharge, transfer to another room or facility, or death to include notification of appropriate departments and staff, assemble and preparation of appropriate charts and forms, and routing of patient records according to established procedure.
  • Facilitates transfer of patients within the facility and to other facilities, additionally, copies medical record, ambulance forms, etc.
  • Coordinates with Patient Access to ensure registration has been completed with all required forms signed and filled out.
  • Has a basic understanding of the electronic record to complete order entry in the computer, able to locate documentation and calculate appropriate charges to be entered.
  • Assist with processing and entry of ED charges to ensure efficient, accurate, and thorough capture of charges.
  • Willing to learn and work in a self-directed, flexible, agile team approach.

Evening shift, PRN basis, some weekends & holidays.
